Checking Books In and Out

Any patron can check library materials out as long as they have a library barcode on the back of their school ID.

However, students cannot check out magazines or books with the red “Reference” sticker on their spines, which include textbooks. Faculty can check out the books with the red “Reference” sticker on their spines. They can also take magazines out of the library for short periods of time. Make sure you check what the material is before you check it out to patrons.

  1. Go to the library homepage, www.library.aaart.edu, and click on “Search the Irving Shapiro Library Catalog”.
  2. Click on “Sign In” at the top near the logo.
  3. Username: irvingshapiro
  4. Password: aaart
  5. Click the “Circulation” tab at the top of the page.
  6. Choose either “Loan” or “Return” at the left-hand menu, depending on if the patron wants to check a book out (“Loan”) or return a book (“Return”).

If you are checking out a book or magazine from the magazine archive: Scan the barcode on the back of their student ID to retrieve their patron record (make sure the cursor is in the box below “Loan” or “Return”).

    1. If it is a magazine, ensure that the magazine came from the Magazine Archive (the bookcase in the second room) and is not from the current magazine collection. You’ll be able to tell as the “Library Use Only” sticker will be stamped over with a DISCARDED and there will be a barcode in the magazine’s first couple of pages.
    2. Scan the items to check out. Barcodes are on the first couple inside pages of a book. Books that have a Reference sticker on their spine cannot be checked out, unless it is to a faculty member.
    3. Tell the patron what their due date is. It shows up on the screen below where you scanned the item.

If you are checking a flash drive or charger out: These materials are available in the cabinet under the library supplies. Ensure that it is not Thursday, as these materials cannot be checked out over the weekend. Make sure students sign out the item on the sign-out sheet.

Returns

  • Scan the items to return. Tell the patron if there is any fee associated with their account. This happens if they returned a material late. The fee will show up on the screen below where you scanned the item. Tell the patron they can come back in when the librarian is working to pay their fee.
  • Thank the patron and encourage them to come back.
  • If the DVD/CD is returned without the disc, place the container back into the drawer and make a note in your Daily Log for the librarian.

If a patron has fines on their account, does not have a barcode on the back of their school ID, or wants to place an Interlibrary Loan request, tell them to come back later when the librarian is working.

If they have lost their student ID, tell them to contact Marcia.

If a student is returning an inter-library loan material (something the librarian requested from another library for them), thank the student and inform them the librarian will return it the next time she works. Make a note of this in your Daily Log and leave the material on the library desk. You will be able to tell if the item is Inter-library loan most times because the barcode will not be recognized and/or there will be another library’s name stamped somewhere onto the book.

Renewing

Patrons can renew books up to two times and DVDs/CDs once. Flash drives, chargers, and the charging brick cannot be renewed.

If the patron has the book they would like to renew with them:

  1. Click on the “Circulation” tab.
  2. Click “Renew” in the left-hand menu.
  3. Scan the item’s barcode.
  4. The item and the updated due date will appear on the screen below where you scanned the item.
  5. Inform the patron of their updated due date.

If the patron did not bring the book they would like to renew with them:

  1. Click on the “Circulation” tab.
  2. Click “Status” in the left-hand menu.
  3. Type in the patron’s last name and press enter, or scan their library barcode on the back of their student ID. All of their checked-out items will appear in the screen below.
  4. Click the checkbox next to the item(s) to be renewed.
  5. Mouse over the words “Patrons Transactions” (next to the Print icon). A menu will appear.
  6. Select “Renew”. The updated due date will appear.
  7. Inform the patron of their updated due date.
